Terms and Conditions
Urban Flats Vienna rents furnished apartments to private and corporate clients. Leased property is an apartment, including the equipment. Each apartment has its own inventory list with prices for replacement in case of a loss or a damage.
To confirm a reservation we require arrival and departure dates, number of persons, an apartment type, a method of payment and a payment in advance.
After confirming a booking a standard short-term agreement between Urban Flats Vienna and a booker is set up. The booker is considered as a guest, unless this person shares his/her actions on behalf of third parties. The apartment type, the price per night and the rental period are previously set in the booking. Due to limited duration no deposit has to be paid.
2.1 Changes of booking
Reductions of stay will be charged with a reference to the cancellation policy. Extensions to the previously set rates of stay may depend on the availability and actual rates.
2.2 . Rates
Unless otherwise indicated all prices include 13 % VAT, but exclude local city tax (calculated as 3.2% of the net booking price) and a cleaning fee of EUR 30,00 per stay. Proportionate operating costs, as well as gas, electricity, TV and Internet and use of an elevator are included in the price. No meal is included in the room rate.
2.3.1 Refundable rate
The total price of the reservation will be charged at least 14 days prior to arrival. If cancelled or modified up to 14 days before date of arrival, no fee will be charged. If cancelled or modified later or in case of a no-show, the total price of the reservation will be charged.
2.3.2 Non-refundable rate
The total price of the reservation may be charged anytime after booking. If cancelled, modified or in case of a no-show, the total price of the reservation will be charged.
2.5 Payment methods
Urban Flats Vienna accepts standard payment forms: credit card (Visa, MasterCard, American Express, Diners Club, UnionPay), bank transfer, PayPal, cash. Urban Flats Vienna does not accept payments in any foreign currency (only EUR) and cheques.
3. Arrival and departure
Check-in time starts at 14:00, an earlier check-in must be requested in advance and confirmed by Urban Flats Vienna. If an earlier check-in was not requested and confirmed before the arrival, there is no guarantee that the apartment is cleaned and prepared for the check-in. A early check in can never be guranteed by Urban flats Vienna. The check in is planed after 2 pm and can be extended till 3 pm if unforseeable circumstances happen. If the guest checks in and the apartment is not ready by the time, the guest is given the possibility to extend the check out time till 12:00 am.
3.2 Guests Journal
The Austrian Registration Act stipulates that any guest arriving has to fill out a guest journal. This will be given to the guest during the check-in.
Departure and return of the keys is not later than 11:00 a.m. Late check-out must be requested and confirmed by Urban Flats Vienna in advance. If this does not happen and the apartment is not vacant by 11:00 a.m. an extra night will be charged. Depending on availability, late check-out (check-out until 19:00, half of a daily rate) may be possible.
4. Key delivery
4.1 Key exchange
The key exchange will be held in front of the apartment. The guest has to notify Urban Flats Vienna via E-mail or phone about his/her arrival time.
4.2 Key return
The key must be returned on departure day in the way it is stated in the check-out rules for each apartment (these rules you will find in the apartment). For the lost keys Urban Flats Vienna charges EUR 150,00 per set. If the guest is locked out, Urban Flats Vienna has to be called immediately. If the employee of Urban Flats Vienna is not able to open the door, a locksmith has to be called. The costs incurred have to be borne by the guest in case of personal negligence.
Urban Flats Vienna charges EUR 30,00 as a final cleaning fee for each apartment booked. No free of charge daily cleaning is offered or performed by Urban Flats Vienna. If our staff is encountered in the house, so the person is neither responsible nor obliged to perform any special requests.
If a guest stays longer than a month, one free of charge cleaning service is offered per week. This is included in the service. However, the tenant / guest doesn’t have to take advantage of it.
5.2 Waste disposal
The guest is obliged to separate the waste and dispose it correctly. We kindly ask our guests to separate general waste from paper, metal, plastic and glas. If the guest is staying in our apartment longer than a week, he/she has to bring the separated waste to specific containers which can be found in or close to the building. The colour on the bin and lid indicate what type of waste are they for:
Orange - general waste
Red - paper, yellow pages, magazines, etc.
Brown - organic waste (fruit, vegetables, plants and weeds, no food waste)
Blue - metal (cans, cables, Nespresso capsules, pans and metallic kitchenware, metallic bottle caps, etc.)
Yellow - plastic (bottles, cups, etc.)
White and green (usually next to each other) - white for colourless glass, green for coloured glass.
Each apartment has its own inventory list with the prices for replacement in case of a loss or a damage.
6.1 Damage of inventory
Should Urban Flats Vienna notice, that things from the inventory list are missing or damaged, the appropriate amount will be charged. The corresponding expense for repair / restoration will be charged for damaged inventory that is installed, as well as movable furniture parts.
6.2 Lost property
Personal belongings of the guest will be stored two weeks after departure and after that duration disposed. The guest has the possibility to pick up the objects or have them sent to the given address at own expenses.
7. Other regulations
Guests must observe the house rules. No applicability of the MRG (Rent Act): The tenant / booking party expressly acknowledges, that the resulting lease is not a subject to the Rent Act (MRG) and therefore the guests cannot insist on the MRG. Use of the rental equipment, maintenance obligations of the tenant: The rental is exclusively for residential purposes, and is indeed used for purposes as a second home. Any change in the rental purpose requires the preceding written consent of Urban Flats Vienna. The establishment of a "primary residence" or a "habitual residence" in the lease is not allowed. If the tenant notices an infestation by vermin, all necessary extermination methods have to be initiated as well as to inform Urban Flats Vienna. It is explicitly stated that the compliance and maintenance obligation iSd § 1096 Abs 1 ABGB is obliged by the tenant. The tenant has to use the rental equipment carefully, gently and with care and to regularly and properly maintain and in case fix damaged inventory at own expenses. This relates essentially to furniture, dishes, and utensils of daily use, except for structural components (heating, sanitation, water supplies and furthermore). The tenant renounces against early termination of the lease due to a reason of termination in § 1117 ABGB.
